Law firms · Searchable archive
Find the right document in an organised archive.
We design and configure a searchable archive using your firm's documents. Classification, search methods and access requirements are defined and tested on an agreed sample.
When finding a file depends on who remembers saving it.
Different folder structures, unclear names and scans that are difficult to search make retrieval uncertain. We start with the searches you actually need: by matter, document, date or content.
The pilot in practice
Test a search your firm actually needs.
Illustrative example to be tested in the pilot.
“Find the contract for this matter and the signed version in the sample.” We compare the retrieved file with the expected document and record errors, missing files and time required.
Define the project's scope.
Volumes, formats, users and included documents are defined before configuration.
- A sample of documents to import and check.
- Classification criteria agreed with the firm.
- Text recognition for scans where image quality permits.
- Search and access compatible with the selected tool.
- Export and recovery checks, with instructions for your project lead.
How the project starts
Import a sample. Test searches. Decide on expansion.
Your project lead selects documents and searches with known answers. We configure the workflow and also test poor scans and ambiguous classifications. Expansion follows review of the sample.
Before starting
Questions about the project.
Can we start with existing documents?
Yes. The project assesses formats, quality and import methods. Any preparation or reorganisation is included in the written scope.
Can scanned documents be included?
We assess OCR on the sample. Legibility, layout and image quality may require manual preparation or review.
Does this provide legally compliant records preservation or a complete practice management system?
This project covers document organisation and search. Formal records preservation and practice management require separate services and requirements.
Who can access the files?
We define users and access needs before selecting the configuration. Required rules are checked against the candidate tool.
